Personnel Structure

The following elements define the SAP personnel structure for Personnel Administration:

  • Employee group
  • Employee subgroup

Employee group

Employee groups are created as a result of distinction of employees registered in the system according to their pay calculation. Find more about SAP HR Payroll.
Groups are also one of the ways of dividing employees due to HR reporting reasons.
Group code can be written in 1 digit, name – max. 20 digits.

Employee subgroup

Employee subgroups are more detailed than employee groups. Subgroups make groups more detailed and they are also a steering element for system operation.

Employee subgroup sets following indicators:
- The employee subgroup grouping for the work schedule allows you to define which work schedules are valid for which employees
- The employee subgroup grouping for primary wage types controls the validity of wage types at the employee subgroup level
- The employee subgroup grouping for the personnel calculation rule controls how the system processes an employee's payroll, for example, whether an employee is to be paid on an hourly or monthly basis
- The grouping for collective agreement provision restricts the validity of pay scale groups to specific employee subgroups.
- You can also assign employee characteristics, such as the activity status, employment status, and level of education/training, for statistical purposes.
­ The employee subgroup grouping for time quotas allows you to specify which attendance and absence quota types are valid for which employee subgroups.
­ The employee subgroup grouping for appraisals allows you to define appraisal criteria for each employee subgroup.
­ The employee subgroup allows you to define default values for data entry, for example, for the payroll area or basic pay.
Subgroup code can be written in 2 digits, name – max. 20 digits.
Enterprise Structure -> Definition -> Human Resources Management -> Emloyee groups
You must assign Employee subgroup to appropriate Employee group. In configuration you set also a country assigment in this place, so which employee subroups could be accessed in specified country
Enterprise Structure -> Assignment -> Human Resources Management -> Assign employee subgroup to employee group

Payroll area

Payroll area groups all employees based on payroll date and period. Additionally there are separate units for payroll accounting.
Personnel Management -> Personnel Administraion -> Organizational Data -> Organizational Assignment -> Create payroll area
